Customer Exit & Data Export
The controlled process for ending a hosted CRM service and returning or deleting customer data.
Last updated: 3 October 2026
This is a controlled manual procedure. Customer-instance management may automate parts of it in future, but each exit remains authorised and recorded.
1. Starting an exit
An authorised customer representative should contact admin@ipcom.ie. IPcom Limited will verify authority, identify the customer instance and subscriptions, agree the service end date, record any legal hold and confirm the export and deletion instructions. A request does not itself authorise immediate destruction.
2. Export
Before the agreed cutoff, the customer may request available CRM exports. The exact scope and format depend on enabled modules and may include CSV, JSON, PDF, private-file archives or a structured database export. Secrets, internal security information, third-party data and records that IPcom Limited must retain independently may be excluded or supplied separately. Exports are transferred through an agreed secure channel and their receipt is recorded.
3. Service closure
- Stop new user access, scheduled communications and connector synchronisation at the agreed time.
- Revoke customer credentials, connector tokens and instance-specific service keys.
- Cancel or amend subscriptions separately through the applicable payment-provider process.
- Record the final export, outstanding financial or legal records, and authorised deletion decision.
- Delete or anonymise customer data from the live instance and private storage, then allow protected backup copies to expire through normal rotation.
- Provide written closure confirmation describing completed actions and any recorded exceptions.
4. Limits
IPcom Limited may retain billing, tax, fraud-prevention, security and legal records where required or justified, with access restricted to that purpose. Data held independently by a customer-selected connector or payment provider must be managed with that provider.
