2. Personal data we may collect
Depending on how you interact with us, we may process:
- Name and contact details.
- Company, organisation and account information.
- Login, authentication and access information.
- Correspondence and CRM conversations.
- Subscription, invoice, billing and payment records.
- Marketing preferences and consent records.
- Technical, security and audit information.
- Information submitted through enquiry or contact forms.
Where IPcom CRM is connected to a supported marketplace or commerce platform, CRM customers may also choose to synchronise customer, seller, product, order or storefront information into their CRM.
3. Why we process personal data
We may process personal data to:
- Respond to sales and general enquiries.
- Create and administer CRM accounts.
- Provide and support IPcom CRM.
- Process subscriptions, invoices and payments.
- Provide service, security and transactional communications.
- Maintain system security and prevent abuse or unauthorised access.
- Maintain records required for accounting, tax and legal purposes.
- Provide marketing communications where permitted.
- Establish, exercise or defend legal rights.
4. Lawful bases
Depending on the processing involved, our lawful bases may include performance of a contract, steps taken at your request before entering into a contract, compliance with a legal obligation, legitimate interests in operating and protecting our business and services, and consent where consent is required.
5. Marketing communications
We will only send marketing communications where an appropriate lawful basis applies. Where consent is relied upon, it can be withdrawn at any time.
Service, account, security, billing and transactional communications are not marketing communications and may still be sent where required to provide or protect the service.
6. Payments
Payments may be processed by third-party payment providers including Stripe and PayPal. IPcom CRM is not intended to store full payment-card details. Payment providers may process personal and financial information under their own privacy terms.
7. Service providers and recipients
We may use trusted providers for hosting, infrastructure, email delivery, payment processing, security, backups and other business-support services. Personal data may also be disclosed to professional advisers or public authorities where required by law.
8. International transfers
Some service providers may process data outside the European Economic Area. Where required, appropriate transfer safeguards will be used.
9. Retention
Personal data is retained only for as long as reasonably necessary for the purpose for which it was collected, including service delivery, support, financial record-keeping, legal compliance, dispute resolution and protection of legal rights.
10. Security
IPcom CRM uses technical and organisational controls including authenticated access, role-based permissions, restricted administrative access, security logging and other measures designed to reduce the risk of unauthorised access, alteration, loss or disclosure.
11. Your rights
Subject to applicable data-protection law, you may have rights to access, rectify or erase personal data, restrict processing, object to certain processing and receive portable copies of certain data. Where processing is based on consent, consent may be withdrawn.
Requests concerning information for which IPcom Limited is controller may be sent to admin@ipcom.ie.
Where information is held in IPcom CRM by one of our customers acting as data controller, requests should normally be directed to that customer.
12. Complaints
You may lodge a complaint with the Irish Data Protection Commission or another competent supervisory authority.
13. Changes to this policy
This Privacy Policy may be updated as our services, processing activities or legal obligations change. The current version will be published on this website.
